What happens to a member's question.
Start here. Identity and question part ways before an answer is generated. This is the path every question takes, from the member's phone to leadership's report.
Your employer appears nowhere on it.

A member asks, through the union's link.
Members get access through a link the union shares, and the union administers its own member roster.

Identity is set aside at the door.
Member identity is held at the access layer, encrypted and stored apart from the answer log. It is removed before the question goes any further.

Only the question text reaches the engine that generates answers, on servers in your union's country, working from your agreement alone.

With the article and section it relies on, under the union-approved disclaimer. If the agreement doesn't cover the question, AviChat says so and sends the member to a steward.

No. The employer has no access, no visibility and no relationship with AviChat.
It is not a party to the subscription in any way. It is not involved in setup, billing or operation, and it receives no reports, logs or usage data. There is no employer-facing product, portal or contract.

Data sovereignty
Where is our data stored, where are answers generated, and who owns it?
On servers in your union’s own country, and the union owns it.
Canada for Canadian unions, the United States for U.S. unions. Your agreement and member data are stored there, in an isolated private instance, and every answer is generated there too. The union owns its content and data; AviChat obtains no ownership interest in either.

Training isolation
Is our agreement, or what members ask, used to train AI?
No. Your documents and questions never train any outside system.
AviChat uses AI language models only to answer from your union’s own agreement, never the open internet. The language-processing step is performed by established enterprise providers acting strictly as data processors, contractually barred from training any model on union documents or member questions.

What happens to our data if we leave?
You leave with your data; our copies are deleted.
On termination, the union downloads its data within 30 days. AviChat then deletes its copies and certifies the deletion.

Member privacy
What leadership sees, what’s recorded, and what members control.

Can leadership see who asked what?
No. Leadership sees anonymized, topic-level patterns only.
For example, that overtime questions rose last quarter. Leadership has no function to look up who asked what. Member identity is held at the access layer and removed before any question reaches the engine that generates answers.

The audit trail
What record is kept of each answer, and who is in it?
The question and its citation. Member names are not in the answer log.
Every answer is logged with the question asked and the article and section it relied on. Member identity is encrypted and kept apart from that log, in a restricted audit trail available only for legal verification, such as confirming the disclaimer a member saw.
It is held to protect the union, not to monitor members.

Retention and member rights
How long are chats kept, and what can members do about their information?
Deleted on request, and within 12 months at the most.
Chat histories are confidential. They can be deleted on a member’s request and are deleted no later than 12 months from each query. Members may access, correct, delete or download their personal information.

How the service is secured, who controls it, and what stands behind every answer.

How is the data protected?
Encrypted, access-controlled and isolated.
All data is encrypted at rest and in transit. Administrative and privileged accounts require multi-factor authentication, with role-based access controls and no shared accounts. Daily encrypted backups are stored securely, and each union runs in its own isolated private cloud infrastructure.

Liability protection
What happens if an answer is wrong?
Every answer is cited, disclaimed and insured for $5 million.
Each answer names the article and section it relies on, so it can be checked in seconds. Members acknowledge a union-approved disclaimer before use and can flag any answer for review.
AviChat carries $5 million in technology errors and omissions and cyber liability coverage, with the union named as an additional insured.

Union control
Who decides what goes live?
The union, from the very first answer.
Your officers approve all output before launch, starting with a phased rollout to a test group. The union administers its own member roster, and members can flag any answer for review.

Compliance and breaches
Which privacy laws does it follow, and what happens if there’s a breach?
Built privacy-by-design, consistent with PIPEDA in Canada.
For U.S. unions, data handling is designed to support deployments under applicable U.S. data-protection law. Any confirmed breach is reported to the union promptly, with a documented incident report; notification timelines are set in the Data Processing Addendum.
